1. Executive Summary:
Pathway Academy Charter School is seeking proposals from qualified vendors to furnish its new educational facility (gr 7-12) with high-quality, durable, and ergonomically designed furniture suitable for both educational and administrative environments. The goal is to provide furniture that supports collaborative learning, professional functionality, and an inviting atmosphere for students, faculty, and staff.

2. Detailed Scope of Work:
The selected vendor will be responsible for the supply, delivery, and (if applicable) set up /installation of the following furniture items into the actual classrooms and locations within the school:
A. Student Classroom Furniture
 43 Student Tables: Collaborative tables suitable for group seating of 4 students per table. Must be durable, easy to clean, and facilitate a collaborative learning environment.
 170 Student Chairs: Ergonomic, stackable (preferred), sized for grade-level appropriateness (middle
and high school age).
B. Administrative Office Furniture
 5 Admin Office Desks: Standard professional desks with modesty panels, drawers, and cable
management.
 5 Admin Office Chairs: Ergonomic, adjustable office chairs with lumbar support and mobility casters.
C. Teacher Furniture
 10 Teacher Desks: Functional desks with storage options and space for technology use.
 10 Teacher Chairs: Comfortable, ergonomic chairs suitable for extended use.
D. Support and Storage Furniture
 10 Bookshelves: Durable shelves for classroom and administrative use. Variety of heights and widths
preferred.
 15 File Cabinets: Lockable filing cabinets, both vertical and lateral options.
Vendor must be able to deliver and set up the furniture no later than June 15, 2025.

3. Eligibility and Qualification Criteria:
Any qualified furniture vendor able to deliver the product by the deadline. Vendors must not be suspended or debarred on Sam.gov. Experience with educational furniture preferred. Vendors must reveal a conflict of interest/family relation with any staff or board member at Pathway Academy. Upon award of the RFP, the selected vendor will be required to complete a full vendor packet.

4. Submission Guidelines and Required:
● Bid Format and Structure: Bids will be submitted electronically to the unique email address:

Please format the bids to correspond with the scoring rubric:
1. Quality and durability of furniture
2. Cost competitiveness
3. Delivery and installation timeline
4. Vendor reputation and references
5. Warranty and support services
6. Compliance with specifications
7. Sustainability of materials and practices
8. Visual appeal and aesthetics
The RFP must show the quantity and per unit price of every item.

You may resubmit up to the deadline as many times as necessary. Pathway will use the last date of submission to score. Submissions will not be opened until the deadline.
● Sealing of bids: Add read receipt to ensure bid is not open prior to May 16, 2025.
● Late Submissions Policy: No late submissions will be accepted unless there is an emergency. Contact
the Director of Operations /CFO, Mr. Tommy Moore, listed below in the event of emergency.

5. Bid Evaluation and Selection Process:
● Evaluation Criteria: Bids will be evaluated based on a 40 point rubric with 5 points per eight criteria
listed in Section 4.
● Selection Process: A committee will review the bids for accuracy, promptness, and completeness, and apply the point values.

● Notification of Award: The successful bidder will be notified by email the week of May 23 in order to
proceed with Board recommendation on or about May 27, 2025.

6. Comprehensive Terms and Conditions:
● Contractual Obligations: The purchase is being made with federal grant funds. Pre-payments or
deposits are not allowed. The vendor must take payment after delivery. Pathway can furnish proof of availability of grant funds.
● Payment Terms and Conditions: Payment will be made within 30 days of receipt of invoice. Invoice
must be issued after furniture is delivered and accepted by Pathway Academy.
● Performance Bonds or Guarantees: N/A
● Confidentiality and Data Protection: The vendor may put a read receipt on their submission to ensure it has not been viewed prior to May 16, 2025 5:00 p.m.
● Legal and Regulatory Compliance: Per fully executed signed contract after award of the RFP

7. Pre-Bid Conference:
No pre-bid conference will be held.
